Jim's own visibility into site conditions leans on a weekly check-in with whoever is covering Site Steward that week. Post-transition, the Site Steward role runs on a structured cadence rather than open-ended onsite hours: two scheduled visits a week, roughly 2-2.5 hours each (~5 hrs/week total), each following the shift checklist below. Same-day response is reserved for genuine emergencies (security, safety, active damage) - everything else queues for the next scheduled visit or routes to Control Tower. The second weekly visit is timed just ahead of Control Tower's own weekly remote review, so the two naturally cross-check each other.

Vendor dates win. Edge, DaVinci and OpenTech dates are set by the vendors. If one slips, move that workstream to the next Luke day rather than compressing it. Order of dependency: Manager Line test on the Ooma number -> OpenTech script change -> number port -> Edge (with OpenTech feed) -> locks -> gate last, because the gate is the most tenant-visible and hardest to undo.

Technology go-live workstreams

What "ready" means for each migration. Items marked "confirm" are open questions for the vendor, not assumptions.

1. Storable Edge (replacing SiteLink)

  1. Data check before cutover: tenant count, balances and paid-thru dates match the SiteLink Balances Due report; lien-notice dates and amounts carried over
  2. No lien sale is scheduled across the cutover date without the notice log checked on both sides
  3. Parallel run: daily close done in SiteLink and compared to Edge until cutover is confirmed
  4. Luke and Bri can each do: move-in, payment, move-out, transfer, refund/credit, overlock flag, daily close, month-end close
  5. Confirm: Edge handles one close covering several days (needed for the reduced close cadence)
  6. Confirm: StorageTreasures stays linked and keeps pulling delinquent units after cutover

2. DaVinci locks (374 Self Storage units)

  1. Pilot first (Oct 8), then roll out in this order: vacant units, then units as they turn over, then delinquent units (Disc lock), then the remaining occupied units at tenant contact or renewal
  2. Every installed lock shows the correct status in the DaVinci dashboard and matches Edge
  3. Tenant Connect tested for move-in and move-out from a phone, no app
  4. Remote manager access is logged - this replaces cutting locks for auction prep
  5. Spare locks and a backup locksmith on hand while the rollout is partial

3. Gate: G.O.A.T. replacing OpenTech Bluetooth hardware

  1. Confirm: how existing tenant gate codes carry over, and what happens during a power or internet outage
  2. Tenant notice 48 hours before cutover: what changes, what stays the same, who to call
  3. Keep the OpenTech hardware installed and powered for at least 7 days as the fallback
  4. Luke on site at the morning and evening peaks on cutover day
  5. Remove the old hardware only after a full week with no fallback use

4. Phones: AccessOne to Ooma Pro

  1. Connect and test: the Ooma phone is on the Internet port and dials out on the current number, (779) 222-2387
  2. Port the public number (Jim): Jim submits the port request for the main Parker Storage number from AccessOne to Ooma. Get the account number, PIN and billing name and address from AccessOne. Confirm: the target port date, and whether anything else (alarm, gate call box, fax) uses that AccessOne line
  3. Keep AccessOne active until the port is confirmed. Cancelling first can lose the number. Cancel only after a full day of successful calls on Ooma
  4. Interim Manager Line: once the Ooma phone is confirmed live, use the current Ooma number, (779) 222-2387, as the Manager Line. OpenTech tests warm transfers to it and the on-call person answers in the Ooma app. Turn off the cell forwarding only after two good tests: one answered, one where on-call does not answer and it rolls to backup. Keep the manager cell charged as a fallback, not as a forwarding target
  5. Final Manager Line: when the port is confirmed, either add a second extension on Ooma or keep (779) 222-2387 as the Manager Line. Confirm with Ooma whether OpenTech can dial an extension directly (it may need its own direct number), and that it never routes back to OpenTech
  6. OpenTech script change: OpenTech agents pick up every call, with no Press 3 option, and warm-transfer urgent calls to the Manager Line. This does not wait for the port. Confirm: how the public number reaches OpenTech after the port (forward on the first ring)
  7. Ooma app: whoever is on call installs the Ooma app and accepts inbound transfers there. Missed and received calls show in Ooma's Virtual Receptionist log and transcription
  8. Power and internet backup: battery backup on the modem, router and Ooma phone, so a storm outage does not cut off OpenTech and the Manager Line. Confirm: the runtime it gives, and whether Ooma can forward calls automatically when the phone is offline. A cellular backup connection is worth pricing if the ISP line is the weak point
  9. Jim decides when to cancel the manager cell plan - suggest 30 days after the cell forwarding is turned off

Site Steward roles & expectations

The Site Steward runs a structured visit, not open-ended hours.

On-call & call forwarding

Replaces the "Press 3 to speak with a manager" menu option, which sends the call out of the logging system to a personal phone and voicemail.

Target call flow

  1. The public number rings on Ooma and reaches OpenTech, which picks up on the first ring. There is no menu option to press for a manager. The OpenTech agent logs the call before any transfer, and it flows into the Edge CRM leads dashboard. Confirm OpenTech's live-answer hours
  2. Routine (rates, availability, payments, hours, lock questions, non-urgent repairs): the agent handles it or takes a message. The agent records a callback request that becomes a CRM task with a due time for Control Tower. No voicemail
  3. Urgent (see list below): the agent logs it, then warm-transfers to the Manager Line (the second Ooma extension) and announces the caller. The on-call person answers in the Ooma app
  4. If the on-call person doesn't pick up within about 30 seconds, the call rolls to the backup, then to Jim. Ask OpenTech whether the agent can also send an URGENT text or email to on-call and backup, so nothing waits for a voicemail check
  5. After hours (outside OpenTech's live-answer hours): confirm with OpenTech what callers get. Urgent calls must still reach the Manager Line with the same ladder; everything else is taken as a message and emailed to Luke, Bri and Jim

What counts as urgent

  1. Fire, flood, break-in, vandalism, or anyone hurt or locked in (call 911 first)
  2. Gate stuck open or closed, or no tenant can get in or out
  3. Unit door or lock failure that leaves a tenant's unit unsecured
  4. Anything else the caller says can't wait until tomorrow

Manager LineThe Ooma number (779) 222-2387 until the port completes, then a second extension or that same number. Never published on the website or Google listing. The on-call person (Control Tower or Site Steward) uses the Ooma app to accept transfers from OpenTech and changes who is on call there at handoff. It must never route back to OpenTech. Core SOPs

Site walk (Site Steward visit)

  1. Walk all 12 buildings, noting any unlocked or mismatched units
  2. Check for visible damage, debris, or maintenance issues
  3. Log findings in the shift checklist (staff.parker-storage.com)
  4. Flag anything urgent to Control Tower same day; non-urgent items queue for the next scheduled visit

Overlock application (delinquent units)

  1. Control Tower provides the delinquency list for the week
  2. Site Steward applies the DaVinci Disc Lock ("red" overlock) to each listed unit
  3. Lock releases automatically once the tenant pays - no physical cutting needed
  4. Confirm release in the system before removing any physical overlock hardware in the pre-DaVinci period

Move-in processing

  1. Control Tower handles lead response and reservation/paperwork remotely
  2. DaVinci High Collar Lock ("black" lock) assigned to the unit, status flips to occupied
  3. Site Steward (or Control Tower, once DaVinci Tenant Connect is live) confirms unit is ready and clean
  4. Tenant receives access code via SMS/email or Tenant Connect

Move-out processing & deposit refund

  1. Tenant gives notice through Control Tower
  2. Site Steward verifies unit condition and confirms broom-clean at walkout
  3. Control Tower processes the refund and updates unit status to vacant

Daily close

  1. Reconcile the day's payments and activity in SiteLink (moving to Storable Edge)
  2. Currently done by whoever is covering that day; will split between Control Tower and Site Steward as remote-payment adoption grows, as a built-in cross-check
  3. Jim reviews for reconciliation oversight

Inbound call handling

  1. Ooma forwards the mainline to OpenTech, whose live agent answers and logs every call; logs flow into the Edge CRM leads dashboard

Per the Illinois Self-Service Storage Facility Act (770 ILCS 95/). Judgment calls here stay with Control Tower and Jim - not a Site Steward responsibility.

Final offers to long-term delinquents

Process only. Tenant names and amounts are kept out of the Run Book and live in Jim's confidential tracker.

How it works

  1. One document per tenant, covering every unit at lien stage: the statutory lien notice up front (Part 1), with the settlement offer as an optional Part 2. Same terms for every tenant: 60% paid first, 72 hours to vacate broom-clean, remaining 40% waived, default reverts to the sale
  2. Attorney reviews the template before anything is sent. Jim signs off
  3. Balances are refreshed from the system on the day of mailing; the notice shows the refreshed amounts
  4. The notice names the sale date, time and location, so the sale date is chosen first and the schedule works backward
  5. Deliver by the method the attorney approves (verified mail, in person, or email with receipt). Log delivery date and method
  6. If a tenant signs Part 2 and pays, restore access and start the 72-hour clock. Payments are confirmed in the system, not by the tenant's word
  7. Partial payment does not stop the sale. Only full payment does
